Job Summary
• The Administrative Assistant provides support to a designated group of leaders, as well as broader administrative support for an assigned functional area. This role works closely with leaders and colleagues to complete varied administrative tasks while exercising discretion and sound judgment on a consistent basis.

Responsibilities
• Manage calendaring requests for internal meetings, external meetings, conference calls, and webinars.
• Plan domestic and international travel including the arrangement of flights, hotels, car service, etc.
• Field phone calls, answer emails and create correspondence.
• Create agendas, status reports, and PowerPoint presentations for internal and external meetings.
• Plan on-site and off-site meetings, as well as special events, partnering with appropriate cross-functional colleagues as needed.
• Track and manage invoices for assigned functional area, including creating Purchase Order (PO) requisitions and submitting invoices against POs to facilitate timely vendor payments.
• Prepare individual expense reports.
• All other general administrative support for assigned leaders and functional areas, including liaising with internal and external contacts, ordering supplies, greeting visitors, preparing materials for investment committee review meetings, and other duties as assigned.

Qualifications
• High school diploma required. Associates degree or Bachelor’s degree in a business-related field preferred.
• Previous experience in an administrative support role required.
• Highly organized, detail oriented, proactive, efficient and service focused.
• Strong oral and written communication skills, as well as the ability to interact with all levels of management.
• Ability to work in a fast-paced environment.
• Ability to maintain highest degree of confidentiality and diplomacy.
• Highly proficient in all Microsoft Office software including Word, PowerPoint, Excel and Outlook. Experience with Microsoft Visio preferred.

Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $52,685.00 – $86,554.00 / year. The rate/range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
