JOB DESCRIPTION

Bertelsmann, Inc. is looking for a proactive, flexible and ambitious professional to join our dynamic team and business in NYC. This role will include administrative responsibilities including full management of the Chief Executive Officer’s calendar, travel, expense and allocations management, coordination of CEO-sponsored events and supporting day-to-day functions of a busy team.

ROLE AND RESPONSIBILITIES
• Provide high quality email, calendar management, travel services to the CEO and expense reporting
• Processes invoices by creating electronic copies and distributing for signatures before submission to Accounts Payable
• Prepares for meetings as necessary, including scheduling of conference rooms, coordinating food, and logistics
• Edits letters, memos, and other documents as necessary
• Coordinate CEO-sponsored events and programs
• Administrative support, data entry and other tasks assigned as the CEO requires
• Support NYC office in ordering and organizing office equipment and office and pantry supplies
• Provide overall administrative support on CEO initiatives and collaborates with all departments in effective manner
• Manage all mailings to and from the NYC office; scan and distribute all mail to remote team.
• Support with mailings, electronic file maintenance and other duties

QUALIFICATIONS AND EDUCATION REQUIREMENTS
• Associate degree or equivalent industry work experience
• 3-5 years of administrative experience supporting a team or department
• Demonstrated intermediate level proficiency in Microsoft Office suite, all applications
• Excellent attention to detail
• Ability to operate autonomously but also serve as a strong team contributor in a fast-paced and decentralized environment
• Strong analytical skills with a high degree of attention to detail
• Excellent organizational & communication skills
• Solid interpersonal skills and client service orientation with focus on high quality service to internal and external stakeholders
• Must have a sense of accountability, owning one’s work and taking pride in it
• Must have a commitment to quality, confidentiality and continuous improvement

The role will be based at the New York office with a flexible hybrid work arrangement. Minimum two to three days will be required in the NYC office and may increase during busy periods. Everyone who works at the company is expected to be flexible regarding their duties.
