The Senior Manager, Catering (“Senior Manager”) is both a leadership and a hands-on role. Senior Manager leads the firm’s catering function within the United States, working and partnering with office administrators, receptionists, on-site vendors, events team members, and other resources, to ensure efficient and timely delivery of catering services. Senior Manager also serves as an on-the-ground leader for catering services, including ordering and invoicing, in the New York office. Longer term, successful candidate shapes the future of the firm’s global catering function, introducing best practices and creating efficiencies across regions and offices.
What You’ll Do:
National:
• Lead catering vendor management, centralize vendors to achieve cost efficiencies, issue and manage vendor RFPs.
• Work across offices to establish and/or evolve local catering programs. Document processes and best practices to be leveraged by all offices. Work cross-office to establish consistencies and economies of scale.
• Address and assist local teams with troubleshooting any catering and invoicing issues. Serve as the main catering point of contact for all local teams.
• Provide regular feedback to the Director of Events & Conference Services on Catering processes. This feedback can be leveraged in the evolution of firm procedures and policies.
• Develop and display a full understanding of firm culture, leadership preferences and departmental processes. Advise internal clients and mentor other members of the team on these areas as needed.
New York:
• Oversee all aspects of catering orders for meetings.
• Generate regular reports from the firm’s meeting scheduling system (EMS) to determine catering needs for meetings. Place weekly catering orders based on those reports.
• Place pop-up orders as they arise. Monitor requests and ensure they are tracked to the appropriate meeting records for billing purposes.
• Coordinate with Information Technology and an on-site vendor to ensure all technical needs are properly addressed in each meeting.
• Manage menu offerings. Work with careers to update options as needed. Partner with the internal team to update menu options in the system as necessary.
• Manage the lunch vendor, in close collaboration with the office administrator. Oversee all of the logistics for lunch orders for the office.
• Process all catering invoices on a weekly basis.
• Develop and maintain a working database of vetted caterers, establish billing agreements and negotiate contracts as necessary.
• Act as a resource for the hospitality staff when questions arise related to stocking and maintenance of pantries, food/beverage setup, client service, firm processes/policies, best practices or any other areas related to firm catering.
• Maintain inventory of catering supplies and food/beverage items in pantries and re-order as needed. Evaluate the standing order regularly with input from the office administrator and the vendor, and make any necessary changes.
• Develop an in-depth knowledge of corporate caterers and establish relationships with contacts at these companies.
• Research and take part in networking opportunities to expand knowledge of the hospitality industry in New York and beyond and to broaden personal contacts in the industry.
Who You Are:
• BA, BS or equivalent
• 15+ years of catering experience
• Experience with Accruent EMS preferred.
• Accuracy and attention to detail.
• Strong project management skills and ability to interact professionally with a wide variety of people internally and externally.
• Ability to manage multiple assignments and meet hard deadlines.
• Experience reviewing and negotiating contracts.
• Experience managing a team.
