Job Description

Reports to: VP of RD Strategic Customer Group
• Supports: Strategic Customer Group Leadership team (VP and 2 Directors)
• Location: Position will be virtual anywhere in the U.S
• Manage all organizational administration on behalf of the RD SCG Leadership
• Deliver a broad range of office support activities including planning and managing meetings, scheduling travel, developing presentations, data compilation and expenses

ROLE RESPONSIBILITIES

Key areas of responsibilities include:
• Manages systems coordination for the SCG (Organization Manager, ePA3, Teams, Ariba, Work Day, Outlook, vendor credentialing, field roster and distribution lists)
• Coordinates all aspects of SCG engagement for all KAM/FRM meetings including POA’s, planning meetings, KAM/FRM engagement. This includes venue recommendations & selection, AV and catering needs, travel and logistics.
• Assist with onboarding of new hires (arranging interviews, assisting with internal transfers, updating OM, new external on boarding request for LAN ID and PFE email accounts, laptop and iPad shipment)
• Assist with off boarding of voluntary and involuntary terminations
• Coordinates with Director of Operations and Sr. Business Operations Manager:
• Consolidating and distribution of communications to SCG Team
• Assisting in the management and the execution of the brand communications
• Compiling and disseminating reports (report browser) and performance updates
• Assist in managing team budget including travel and expense reporting and assisting in vendor management
• Coordination of customer/account visits, conference and symposium attendance
• Ensure SCG colleagues are kept up to date with current policies and procedures
• Tracking activity for RD’s
• Provide general administrative support including:
• Triage emails, sort/route mail
• Coordinate and schedule travel
• Manage expenses including input Concur entries and conducting initial audit of Concur submissions
• Maintain files and databases
• Manage personnel data compilation and management
• Maintain distribution lists
• Microsoft Office support
• Develop spreadsheets, PowerPoint as needed
• Provide MS Outlook meeting planning and calendar maintenance
• Provide support on specific initiatives e.g. Contests, Budgets etc.

QUALIFICATIONS

• Bachelor’s degree and 4 to 6 years of experience preferred

• Possess advanced Microsoft Office Skills (PowerPoint, excel and Word)

• Experience in providing administration and support using MS Office

• Effective and structured communicator

• Builds strong relationships across different roles

• Accountable and takes responsibility

• Experience supporting a commercial pharmaceutical sales force preferred
